DUTIES AND RESPONSIBILITIES:

  • Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
  • Balances account spreadsheets; matches and defines discrepancies between payments and amounts billed in system.
  • Responsible for employment verifications, child support deductions, franchise tax board deductions.
  • Verifies and posts details of business transactions, such as funds received and disbursed; totals accounts to ledgers or computer spreadsheets and databases.
  • Prepares invoices, checks, timecards, and other records and reviews for accuracy.
  • Answers, screens, and directs incoming telephone calls.
  • Sorts and distributes internal and external mail.
  • Performs other related duties as assigned by management.
QUALIFICATIONS:
  • One-year certificate from college or technical school, six months to one year related experience, or equivalent combination of education and experience.
  • Computer skills required: Accounting Software (QuickBooks); Database Software (Access); Development Software; Internet Software; Manufacturing Software; Payroll Systems; Spreadsheet Software (Excel); Contract Management Systems; Design Software; Human Resource Systems; Inventory Software; Order Processing Systems; Project Management Software; Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint); and Publisher software.
  • Other skills required:
    1. Knowledge of basic bookkeeping procedures.
    2. Good math skills and the ability to spot numerical errors.
    3. Strong computer skills.
    4. Hands-on experience with MS Excel and accounting software (e.g. QuickBooks).
    5. Commitment to excellence and high standards.
    6. Strong organizational, problem-solving, and analytical skills.
    7. Ability to manage priorities and workflow.
    8. Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
    9. Acute attention to detail.
  • Ability to understand and follow written and verbal instructions.
